HallAxis Terms of Service

Last updated: 9 October 2026

HallAxis provides a workforce-planning layer alongside schools' existing examination systems, using exam timetable and room information to calculate staffing demand, support invigilator and Access Arrangement staffing allocation, and produce operational schedules. HallAxis does not replace the school's MIS or examination management system.

Subscriptions

New centres may receive a 7-day free trial with Pro functionality, no payment card required and no automatic conversion to a paid plan. Paid access begins only when the customer actively selects a subscription and completes the applicable checkout. Once activated, charges recur at the stated monthly or annual interval until cancelled.

Customer responsibilities

Customers are responsible for the accuracy of timetable, room, candidate and staffing information they enter or import, and for checking operational outputs before use in live examinations. HallAxis is an administrative planning tool and does not replace awarding-body or JCQ requirements. Schools control the staff information they enter, their availability requests and final staffing decisions. The service does not require student names, individual candidate numbers, medical details or identifiable individual Access Arrangement records. Schools should exclude such unnecessary information from imported files.

Data protection and access

For school-supplied operational data, the school is normally the controller and HallAxis acts as processor under the applicable data-processing arrangements. Authorised school users are assigned access permissions; HallAxis's technical administrator may also have privileged underlying-platform access for maintenance, security and support. At the end of the service, schools may instruct HallAxis to return or delete their school-controlled data, subject to applicable law and the agreed Data Processing Agreement. Requests may be sent to support@hallaxis.co.uk. See the Privacy Notice and Trust & Data Protection information.

Availability

We aim to provide a reliable hosted service but cannot guarantee uninterrupted availability. Planned maintenance, third-party outages or security events may temporarily affect access.

Account security

Customers must keep account credentials secure and restrict access to authorised staff. Suspected unauthorised use should be reported promptly to support@hallaxis.co.uk.

Billing and cancellation

Payment arrangements and any applicable recurring charges will be communicated before a customer agrees to a paid subscription. Customers may request cancellation by contacting support@hallaxis.co.uk; where self-service billing controls are available, these may also be used. See the Cancellation & Refund Policy for further details.

Acceptable use

The service must not be used unlawfully, to interfere with other users or systems, or to upload content the customer is not entitled to process.
